Can the Concierge Arrange Flowers in Your Room?
Yes, in most hotels the concierge or front desk will arrange flowers in your room, either by ordering them for you or by accepting a bouquet you have sent and placing it in the room before you or your guest check in. The key is to contact the hotel a day or two ahead, give the name on the booking and the arrival date, and ask them to confirm. A bouquet delivered to reception with clear instructions is the most reliable way to have flowers waiting.
We get this request regularly in our Saint Petersburg shops, mostly from people planning an anniversary trip, a proposal or a welcome for a business guest. The questions are always practical: who will carry the flowers upstairs, will there be a vase, what if the room is not ready. Below is how it works in practice in Russian hotels and in residential buildings with a concierge, and how to set it up from abroad.
What a hotel concierge can and cannot do with flowers
In larger hotels the concierge desk handles guest requests like restaurant bookings, tickets and gifts. Placing a bouquet in a room before arrival is a normal request for them, and the housekeeping team usually does the actual setting up. In smaller hotels and guesthouses there may be no separate concierge, and the reception staff take the same role. Either way, staff will not enter an occupied room to arrange flowers without the guest's knowledge unless the hotel's own rules allow it, so timing matters.
The simplest case is flowers placed before check-in. The room is empty and being prepared, housekeeping can put the bouquet on a table, and the surprise works perfectly. If the guest has already checked in, most hotels prefer to deliver the bouquet to the door or call the room and ask when it is convenient. Some will place it while the guest is out at dinner, but this needs an explicit agreement with the duty manager.
Vases are the weak point. Many hotels keep a few vases, but not always one that fits a large bouquet, and a beautiful arrangement left lying on a desk for six hours will not look its best by evening. Ask the hotel directly whether they have a suitable vase, and mention the size of the bouquet. If they are unsure, choose a more compact, rounded bouquet that will stand comfortably in a jug or an ice bucket, which every hotel has.
How to arrange flowers in a hotel room, step by step
Start by writing to the hotel, ideally by email, so the request is recorded. Give the guest's full name exactly as on the booking, the reservation number if you have it, arrival date and approximate time, and say what you want: flowers placed in the room before arrival, with the card left unopened. Ask them to reply with confirmation and the name of the staff member responsible. Most city-centre hotels in Saint Petersburg are used to replying in English.
Then order the bouquet for delivery to the hotel address on the arrival day, with a delivery time a few hours before check-in. In the delivery comment, write the hotel name, the guest's name and "for the room, please hand to reception". The courier hands the flowers to reception, and the hotel takes it from there. Put the sender's name and message on the card so the guest knows who it is from, or leave it unsigned if that is part of the surprise.
Finally, a day before, send a short reminder to the hotel. Staff change shifts and the person who answered your first email may not be on duty when the flowers arrive. A two-line reminder with the booking name and "flowers arriving today for the room" removes most of the risk.
Bouquets we can deliver
Choosing flowers for a hotel room
A hotel room is small and often warm, so scent and size matter. Strongly scented lilies can be overwhelming in a closed room overnight, and some guests find them hard to sleep with. Roses, tulips, hydrangeas and spray roses are safe choices. If you want fragrance, matthiola is gentle and fills a room without being heavy; we wrote about it in Matthiola in Russia: Fragrant Stems That Fill a Room.
Think about how long the guest is staying. For a weekend, a bouquet of fully open flowers gives the strongest first impression. For a week-long stay, choose flowers in bud, such as roses or tulips that are just starting to open, so the bouquet changes and improves over several days. Remember the Russian custom: bouquets for happy occasions have an odd number of stems, while even numbers are for funerals.
Hotel rooms in winter are heated and dry, and in summer they may face a sunny street. Ask housekeeping to place the flowers away from the window and the air conditioning unit, and to top up the water. A care note on the card helps if the guest wants to keep the bouquet going: cool water, trimmed stems, no direct sun.
Concierge in a residential building: a different job
In Russia the word "concierge" (konsyerzh) also describes the person who sits at the entrance desk of an apartment building. Many newer and older central buildings in Saint Petersburg and Moscow have one. Their job is to control who enters and to accept deliveries for residents, but they will not go into a flat or arrange flowers inside it. What they can do is keep a bouquet at the desk until the resident comes home.
With our deliveries this is a fallback rather than the first plan. The courier calls the recipient about 15 minutes before arrival. If the recipient is not there, we agree a second delivery the same day or, with the sender's consent, hand the flowers to a neighbour or the concierge. If you know the recipient is at work, say in the order whether leaving the bouquet with the concierge is acceptable, so the courier does not have to wait for your answer.
Buildings without a concierge need a little more planning, especially if nobody is home during the day. Our article on letterbox flowers to a flat without a concierge covers the options.
Ordering flowers to a hotel with Pyat Tsvetov
We have run our own flower shops in Saint Petersburg since 2011 and deliver across Russia, including to hotels. City delivery costs 500 RUB; for remote districts and suburbs the operator confirms the price when confirming the order. In Saint Petersburg delivery runs around the clock, which helps when a guest lands on a late flight or the hotel asks for flowers before an early check-in.
For a hotel delivery, an exact time (within 30 minutes) or a time window of 09-12, 12-15, 15-18 or 18-21 works better than express delivery, because you can match it to the room being ready. You can also pre-order 1-30 days ahead, which is the calmest option when the trip is planned. Choose a bouquet in our catalogue and write the hotel name, guest name and instructions for reception in the order comment.
Payment is online by bank card, SBP or Yandex Pay, and foreign bank cards are accepted through Robokassa; details are on the Delivery and payment page. The card with your text is free, and delivery is anonymous by default, so the courier will not name you at reception. If the plan is unusual, such as a proposal or flowers for several rooms, call us on 8 (812) 507-67-05 and we will go through it with you.
Frequently asked questions
Will the hotel charge for placing flowers in my room?
Policies differ between hotels. Many place a delivered bouquet in the room as part of normal guest service, but ask when you write to them so there are no surprises.
How far in advance should I contact the hotel?
One to two days before arrival is ideal. Send a short reminder on the day before, since staff shifts change.
Can flowers be delivered to a hotel before the guest arrives?
Yes. Order delivery to reception a few hours before check-in and ask the hotel in writing to place the bouquet in the room.
What should I write in the delivery comment?
The hotel name, the guest's full name as on the booking, the arrival date and a note such as "for the room, please hand to reception". Add the reservation number if you have it.
Can a residential concierge put flowers in a flat?
No. A building concierge can only keep the bouquet at the desk until the resident returns, and only if the sender agrees to that.
