Delivery Instructions Examples for Flower Orders: Ready-to-Copy Templates
A good delivery instruction is a short note that tells the courier how to reach the door and the person: entrance, floor, intercom code, the best phone number and anything unusual about the building. For example: 'Entrance 3, floor 7, flat 112, intercom 112#. Recipient works nights, please deliver after 13:00. Surprise - do not mention flowers on the phone.' That is enough for almost any order.
In our Saint Petersburg shops, open since 2011, the question we hear most from customers abroad is what exactly to type into the comment field. Below are ready-made examples for the most common situations, sorted by type of address, plus the details that make a note genuinely useful to the courier.
What a delivery note should always contain
Every note should cover four things: how to get into the building, how to find the flat or office, who to call and when the person is available. Russian addresses carry more layers than many people abroad expect: a street and house number, often a building (korpus) or structure (stroenie) number, then an entrance (podezd), a floor and a flat. Leaving out the entrance number is the most common reason a courier spends ten minutes walking around a large block.
The phone number matters more than any other line. The courier calls the recipient about 15 minutes before arrival, so give a number the person actually answers, in international format if it is a foreign SIM. If the recipient is elderly and rarely picks up unknown numbers, add a second contact, such as a neighbour or a relative living in the same flat.
Keep the note factual and short. Couriers read it on a phone screen in a stairwell, so put the access details first and the wishes second. Latin script is fine; write the street name the way it appears on the address, and our article on delivery instructions in English shows where each part of the address goes on the form.
Examples for a flat in a residential block
Standard flat: 'Entrance 2, floor 5, flat 48. Intercom: dial 48 then the bell button. Recipient: Anna, mobile +7 9XX XXX XX XX. She is home after 18:00.' This covers 90% of residential orders. If the building has a closed courtyard with a gate, add the gate code or say which side the pedestrian gate is on.
Flat without a known intercom code: 'Code unknown. Please call the recipient on arrival, she will open the door. If no answer, call her son Pavel, +7 9XX XXX XX XX, he lives on floor 3.' Not knowing the code is common and not a problem as long as there is a reachable phone. More options are collected in our guide to delivery instructions when you don't know the intercom code.
Elderly recipient: 'Recipient is 82 and hard of hearing. Please call twice and let the phone ring for a long time. Lift is out of order, flat is on floor 4.' Notes like this help the courier plan the visit and avoid the impression that nobody is home. If the person may be nervous about strangers, mention a name they will recognise in the card.
Bouquets we can deliver
Examples for offices, hotels and hospitals
Office: 'Business centre, entrance from the main street, reception on the ground floor. Company name: Severnaya Logistika, floor 6, office 612. Recipient: Elena Smirnova. Office hours 10:00-18:00, please deliver before 17:00.' Business centres in Russia often require the courier's name for a pass, so the full company name and the recipient's surname help security call upstairs quickly. Choose a time window that falls well within working hours rather than right at the end of the day.
Hotel: 'Hotel guest, room 305, booked under the name John Miller. If he is out, please leave the bouquet at reception for him.' Hotels usually accept flowers for guests, but the booking name has to match exactly. Give the name as it appears on the reservation, and add the check-out date if the stay is short.
Hospital or maternity ward: 'Maternity hospital, building 2. Flowers are passed through the reception desk for patients. Recipient: Maria Ivanova, ward 14. Visiting hours 16:00-19:00.' Rules differ between hospitals, and some wards do not accept live flowers at all, so check with the family before ordering. A small, compact bouquet with no strong scent is the safer choice in any case.
Examples for surprises and anonymous gifts
Surprise for a partner: 'Surprise. When you call, please just say there is a delivery and do not mention flowers or the sender.' Delivery is anonymous by default, so the courier will not name you anyway, but this note tells them to keep the call neutral too. If you do want to be recognised, sign the card; a card with your text is free.
Surprise at a specific moment: 'Please deliver at exactly 19:30, her birthday dinner starts at 20:00. Recipient will be at home with guests.' You can choose an exact delivery time, and the courier arrives within about 30 minutes either side of it. For a moment that really matters, give yourself that half-hour margin in the plan.
Fully anonymous gift: 'Sender does not want to be named. Card text below, unsigned.' Keep in mind that a recipient who has no idea who sent flowers may be cautious about opening the door. A neutral but friendly card, such as 'From someone who thinks of you often', helps the bouquet be accepted with a smile rather than suspicion.
When nobody is home: write a backup plan
The most useful line most customers forget is the plan B. If the recipient is not there, we agree a second delivery the same day or, with your consent, leave the flowers with a neighbour or a concierge. Writing your preference in advance saves a phone call and gets the bouquet into water sooner.
Example: 'If Olga is not home, leave the bouquet with the concierge on the ground floor, she knows them. If there is no concierge, please arrange a second attempt after 19:00.' Another variant: 'Do not leave with neighbours under any circumstances, call me instead.' Both are fine; what matters is that the courier does not have to guess.
Our full delivery instructions checklist collects these scenarios in one list, which is handy to keep open while you fill in the form.
Placing the order with Pyat Tsvetov
Choose the bouquet in the catalogue, fill in the recipient's address and phone, then paste your delivery note into the comment field. Payment is online by bank card, SBP or Yandex Pay, and foreign bank cards are accepted through Robokassa, so ordering from abroad does not require a Russian card. The confirmation of your order is the moment when timing starts.
In large cities express delivery takes 1-2 hours after confirmation. You can also pick a window (09-12, 12-15, 15-18 or 18-21), an exact time, or pre-order 1-30 days ahead. In Saint Petersburg, where our three shops are, delivery runs around the clock, which is useful for late surprises and for customers in distant time zones. City delivery costs 500 RUB; for suburbs and remote districts the operator confirms the price when confirming the order.
If something in the address is unclear, or you want to check your note before paying, call us on 8 (812) 507-67-05. Details on zones and payment are on the delivery and payment page.
Frequently asked questions
What should I write in delivery instructions for flowers?
Write the entrance, floor, flat or office, the intercom code if you know it, the recipient's best phone number and when they are available. Add a backup plan in case nobody is home.
Can I write delivery instructions in English?
Yes. Write clearly and keep the address parts in the right fields; Latin script is fine for street names.
What if I don't know the intercom code?
Leave it out and make sure the phone number is correct. The courier calls the recipient about 15 minutes before arrival and on arrival can ask them to open the door.
Will the courier tell the recipient who sent the flowers?
No. Delivery is anonymous by default. If you want the recipient to know, sign the free card.
What happens if the recipient is out?
We arrange a second delivery the same day or, with your consent, leave the flowers with a neighbour or concierge. Writing your preference in the note speeds this up.
