Flowers Receipt: Payment Documents and Confirmation of Delivery

When people search for a flowers receipt, they usually need one of two things: a document confirming that they paid for a flower order, or confirmation that the bouquet was actually received by the person it was meant for. Both matter most when you order from another city or country and cannot see the delivery yourself. Below we explain how each part works when you order from Pyat Tsvetov and what to check so nothing gets lost.

We have run our own flower shops in Saint Petersburg since 2011, and questions about receipts come up in the shop almost every day: a company needs a document for its accountant, a son abroad wants to be sure his mother got her birthday roses, a customer wants to keep the delivery a surprise but still have proof. The sections below follow those real questions in order.

What customers mean by a flowers receipt

In the shop we hear three different requests under the same word. The first is a payment receipt: something that shows the amount, the date and what was bought, for personal records or for reimbursement by an employer. The second is a delivery confirmation: proof that the flowers reached the address and were handed over. The third, less common, is a receipt for the recipient, for example when a company sends flowers to a client and wants the gift to look official. It helps to know which of these you need before you place the order, because it affects what you write in the order form.

For corporate orders the accountant often has precise requirements for the document, such as company details or a specific format. Tell us those requirements at the start rather than after delivery; it is much easier to prepare the right paperwork from the beginning. Our articles Receipts and Invoices for Flower Orders: What You Can Get and Official Receipts and Invoices for Flower Orders in Russia describe the document side in more detail.

For private orders the situation is simpler. Most people only need the payment confirmation for their own records and a clear answer that the bouquet arrived. Keep the order number from the site: it is the reference we use for any later question about the order, including documents.

Paying online and keeping your proof of payment

On our site you pay online by bank card, SBP or Yandex Pay. Foreign bank cards are accepted too, with payment processed via Robokassa, which is important for customers living outside Russia. Whatever method you use, save the payment confirmation and the order confirmation together in one folder or email label. If you pay with a card from a foreign bank, your bank statement will also show the transaction, which many employers accept as supporting proof.

Customers sometimes ask whether the price on the receipt will include delivery. Delivery within the city costs 500 RUB and is part of the order. For remote districts and suburbs the operator confirms the delivery price when confirming the order, so the final amount is known before the flowers go out. Check that amount in your confirmation and keep it, especially if someone else is going to reimburse you.

If you need a document in a particular form, or something in the payment confirmation is unclear, call us at 8 (812) 507-67-05 and give the order number. Questions about documents are much faster to solve by phone than by trying to reconstruct details weeks later.

How the recipient receives the flowers

The second meaning of a flowers receipt is the moment of handover itself. Our courier calls the recipient about 15 minutes before arrival, so the person has time to come to the door or meet the courier downstairs. This call is why the recipient's phone number matters so much: an accurate number is the single most important detail in any order. Double-check it, including the country and city code, before you pay.

If the recipient is not at home, the bouquet does not simply disappear. We agree a second delivery on the same day, or, with your consent, hand the flowers to a neighbour or concierge. Think about this in advance for office deliveries and for elderly relatives who may be at the clinic or the dacha. Writing a backup contact or a short note for the courier in the order saves time on the day.

For deliveries to offices, specify the floor, the company name on the door and whether a pass is needed. In large business centres in Saint Petersburg and Moscow, the courier may need the recipient to come down to reception. Mentioning this in the order makes the handover quicker and avoids flowers waiting at a security desk.

Anonymous delivery and the card

Delivery is anonymous by default: the courier does not name the sender. Many customers want exactly that, for a surprise or a romantic gesture. Others are surprised when the recipient calls them asking who sent the flowers. If you want your name to be known, put it on the card. The card with your text is free, and it travels with the bouquet, so it is the most reliable way to say who the flowers are from.

Keep the card text short and clear, two to four lines. The recipient reads it at the door, often with the courier still present, so a warm greeting and your name work better than a long letter. For corporate gifts, the company name and a brief wish are enough. Write the text in the language the recipient reads comfortably; if you write in English for a Russian-speaking grandmother, she may not understand who sent the flowers.

If you want to stay anonymous, leave the card unsigned or write only a hint the recipient will recognise. The receipt of payment stays with you, not with the bouquet, so the recipient never sees the price or your payment details.

Timing the delivery so it can be confirmed

A confirmation is only useful if the delivery happens when it should. In large cities express delivery takes 1 to 2 hours after the order is confirmed. You can also choose an exact time with a margin of plus or minus 30 minutes, or a time window: 09-12, 12-15, 15-18 or 18-21. For birthdays, anniversaries and work dates, pre-ordering 1 to 30 days ahead is the calmest option, because the date and time are fixed long before the busy morning.

In Saint Petersburg delivery works around the clock. That helps when you are in a different time zone and want flowers to arrive early in the morning or late in the evening local time. When you choose a time, always think in the recipient's time zone, not yours; customers in North America and Asia sometimes book a window that falls in the middle of the night for the person in Russia.

Choosing the time carefully also makes the confirmation more meaningful. If you know the bouquet was due between 12 and 15, you can call your relative afterwards and ask about the flowers without giving away the surprise beforehand.

Practical checklist before you order

From experience in our shops, most receipt problems come from a few avoidable gaps. Before paying, check the recipient's full name, phone number, exact address with apartment or office number, and the delivery date and time in the recipient's time zone. Decide whether the delivery should be anonymous and write the card text accordingly. If you need a document for an employer, note the requirements and call 8 (812) 507-67-05 before or right after placing the order.

After paying, keep the order number, the order confirmation and the payment confirmation together. If the recipient is likely to be away, mention a backup contact or permission to leave the flowers with a neighbour or concierge. These few minutes of preparation are what turn an order from abroad into a delivery you can be sure of.

You can choose a bouquet in our Bouquets catalogue, and the full delivery conditions, payment methods and coverage are on the Delivery and payment page.
