How to Choose Event Flowers That Suit the Occasion

How to Choose Event Flowers That Suit the Occasion

Choose event flowers by deciding who they are for, where they will stand and when they need to look their best. Then narrow your choice by arrangement size, colour, fragrance and care requirements, using the recipient’s preferences and the venue’s practical limits to guide the final decision.

Customers often begin with a colour or a favourite flower, then realise the bouquet must travel, fit a crowded table or arrive before a celebration starts. At Pyat Tsvetov (5 Flowers), we have served customers in Saint Petersburg since 2011. A useful brief starts with the occasion, the recipient and the setting; those details make choosing from the bouquets catalogue much more straightforward.

Start with the purpose of the flowers

Separate a personal gift from flowers intended to decorate an event. A gift should reflect the recipient’s taste and be manageable to carry home, while table flowers must work around plates, glasses and conversation. If both purposes matter, decide which takes priority before choosing the size and shape.

For a birthday or anniversary, begin with a favourite colour or a flower the recipient has mentioned. For a professional celebration, a restrained palette can be easier to judge than a strongly romantic arrangement. At a formal reception, ask whether the host has already chosen colours or set rules for gifts and decorations.

Write a short brief: occasion, recipient, preferred colours, approximate size and where the flowers will go. Add any firm exclusions, such as strong fragrance or lilies in a household with cats. If a particular variety matters, ask about it before committing; the brief should still make sense if you need to choose another flower.

Choose a shape and size that fit the venue

Measure the available space instead of judging scale from a photograph alone. On a dining table, allow room for serving dishes and make sure seated guests can see one another. A low arrangement is often practical, but check its width too: a spreading design can occupy more useful space than its height suggests.

Consider the view from the entrance, from a chair and from the place where photographs will be taken. Flowers beside a speaker should not cover a face or block a screen. In a small room, one well-positioned arrangement may have more impact than several bouquets competing with furniture and other decorations.

Check the vessel before deciding on the flowers. A tall bouquet needs a stable vase with enough support for the stems, while a compact bouquet can disappear inside an oversized opening. If you are sending a gift, establish whether the recipient has a suitable vase and somewhere to put it; do not assume a vessel is included.

Use colour and meaning with the recipient in mind

Choose one main colour and one or two supporting tones for a clear starting point. Look at the table linen, walls and clothing likely to appear in photographs, rather than matching every detail exactly. Pale flowers can blend into a pale background, while a deeper accent can make the arrangement easier to see.

Treat flower meanings as cultural associations rather than fixed rules. Red roses commonly suggest romance, which may feel too personal for a business gift; yellow flowers can mean warmth to one person and carry an unwelcome association for another. A recipient’s expressed preference is more useful than a universal list of meanings.

For a celebratory bouquet in Russia, an odd number is the conventional choice when giving a small, countable group of flowers; even numbers are traditionally associated with mourning. If the recipient follows another tradition, take that into account too. Use the free card to make the occasion and your intention clear, especially when sending from abroad.

Check fragrance, pets and the work of caring for flowers

For a meal or a small enclosed room, ask about fragrance before choosing flowers. Scent that is pleasant in a shop may feel intrusive beside food or during a long gathering. If someone has a known sensitivity, ask for flowers without a strong scent and avoid assuming that any bouquet can be guaranteed allergy-free.

Check pet safety by the actual flower and foliage names, rather than by the bouquet’s colour or style. Lilies are highly toxic to cats, including their pollen and vase water, so exclude them from a home with cats. Keep all arrangements and water out of pets’ reach, and seek veterinary advice promptly if exposure is suspected.

For cut stems going into a vase, use a clean vessel, remove leaves that would sit below the waterline and recut the stem ends with a clean, sharp tool. Add flower food according to its instructions and check the water daily. Keep flowers away from radiators, direct sun and ripening fruit; for arrangements already in a container, first check how the stems receive water.

Plan arrival around the event and the person receiving it

Work backwards from when the flowers must be ready to display, allowing time to receive them, remove transport wrapping and arrange them in water. Delivery at the opening minute leaves little room for those tasks. For an event venue, first establish who can accept the flowers and where they can be kept until needed.

We deliver flowers across Russia, with express delivery in large cities available 1–2 hours after the order is confirmed. Other timing options are an exact time with a tolerance of plus or minus 30 minutes, or the windows 09–12, 12–15, 15–18 and 18–21. Orders can also be placed 1–30 days ahead; in Saint Petersburg, delivery is around the clock.

Choose a delivery window that leaves preparation time before guests arrive. The courier calls the recipient about 15 minutes before arrival, so use a number they can answer during the preparations. If the recipient is absent, we agree a second delivery that day or a handover to a neighbour or concierge with the sender’s consent; see delivery and payment when planning the order.

Make an order from abroad clear and easy to receive

Before checkout, check the recipient’s name, reachable telephone number, city and full delivery address. For a venue, include useful access details and identify the person expected to receive the flowers. Keep delivery instructions separate from the card message, so a personal greeting does not become the only place containing an essential detail.

City delivery costs 500 RUB; for remote districts and suburbs, the operator confirms the price when confirming the order. Online checkout uses CloudPayments, and customers ordering from abroad should check the payment options displayed at checkout. Acceptance of every foreign card is not guaranteed, so check this before relying on an order for a time-sensitive occasion.

Delivery is anonymous by default: the courier does not name the sender. A card with your text is free, so sign the message if you want the recipient to know who sent the flowers. Frequently asked questions

What information should I have before choosing event flowers?

Have the occasion, recipient’s preferences, display location and delivery timing ready. For table flowers, also check the available space, vase and whether fragrance could interfere with the meal.

Should I choose a bouquet or a table arrangement?

Choose a bouquet when the flowers are primarily a personal gift and the recipient can put them in a vase. For table decoration, assess the finished height, width and vessel so guests have space to eat and talk.

How far ahead can I order flowers for an event in Russia?

You can pre-order 1–30 days ahead. Express delivery in large cities is available 1–2 hours after order confirmation, but allow additional time to receive and prepare the flowers before the event.

Can I pay for flowers from another country?

Online checkout uses CloudPayments. Check the options displayed at checkout, as acceptance of every foreign card is not guaranteed.

Will the recipient know who sent the flowers?

The courier does not name the sender because delivery is anonymous by default. Include your name in the free card message if you want the recipient to know the gift is from you.
