How to Write a Clear Flower Delivery Order

How to Write a Clear Flower Delivery Order

To write an order for flower delivery, state the bouquet you want, the recipient’s name and phone number, the full delivery address, the requested date and time, and your card message. Keep delivery instructions separate from the message the recipient will read, and identify any essential preferences clearly. Before paying, check the details and the payment options displayed at checkout.

Customers often know the feeling they want to convey but need help turning it into useful instructions: a warm birthday greeting, a restrained thank-you or an anniversary surprise. At Pyat Tsvetov (5 Flowers), we have been helping customers choose flowers since 2011 and have three flower shops in Saint Petersburg. For someone ordering from abroad, a clear written order helps organise the practical details while keeping the gift personal.

Start with a specific bouquet request

Begin with the bouquet you have chosen from the Bouquets catalogue, using its title as a reference. A catalogue title identifies a product; your instructions should explain any preferences that matter to you. If you have not settled on a bouquet, describe the occasion, preferred colours and the amount you intend to spend. Treat requests for particular flowers or changes as preferences to confirm, rather than assuming they are available.

Describe colour and mood in concrete terms. “Soft pink and white for my mother’s birthday” gives more direction than “something lovely”, while “bright colours for a cheerful congratulations” conveys a different intention. Mention flowers the recipient particularly likes or dislikes if you know them. Avoid a long list of competing requirements that makes it difficult to tell which preference matters most.

Separate essential requirements from optional ideas. For example, write: “The recipient dislikes strongly scented flowers; pale colours would be my preference.” This makes the practical concern easier to recognise than a paragraph mixing scent, wrapping, flower names and delivery directions. If a particular detail determines whether you want to proceed, ask for confirmation before treating the arrangement as settled.

Write the recipient and address details in full

Give the recipient’s full name, a contact phone number and the complete address, including the city. For an apartment, include the building and flat numbers, entrance and intercom details where relevant. Keep building numbers, block numbers and apartment numbers clearly labelled. When ordering from abroad, check these details against an address the recipient has actually used rather than translating or reconstructing it from memory.

If you have the address in Russian, preserve that version in your instructions. You can add an English explanation for your own reference, but avoid introducing a second spelling or number that conflicts with the original. For a workplace, include the organisation’s name and the information needed to identify the recipient there. Include only access details that are relevant to this delivery.

Distinguish the sender’s contact details from the recipient’s details, especially when your own phone number has a different country code. The courier calls the recipient about 15 minutes before arrival, so check that the recipient’s number is current. A surprise still needs workable contact information. Do not write “call me” without specifying whether you mean the sender or the person receiving the flowers.

Specify the delivery date and timing clearly

Write the date with the month spelled out, such as “12 November”, to avoid confusion between date formats used in different countries. Add the year when placing an order ahead of time. State your requested time in the recipient’s city and label it that way, particularly if you are ordering from another time zone. Check the calendar date as well as the hour before submitting the order.

We deliver flowers across Russia. Express delivery in large cities is available within 1–2 hours after the order is confirmed; other options include an exact time with a tolerance of plus or minus 30 minutes, or the windows 09–12, 12–15, 15–18 and 18–21. Orders can also be placed 1–30 days ahead. Write the option you want clearly, remembering that the express period starts after confirmation.

In Saint Petersburg, delivery is available around the clock. If the recipient has a meeting, a journey or a celebration to attend, explain the relevant constraint rather than simply writing “urgent”. City delivery costs 500 RUB; for remote districts and suburbs, the operator confirms the price when confirming the order. Read the Delivery and payment information when choosing the timing and reviewing the delivery details.

Keep the gift message separate from courier instructions

Use two clearly labelled pieces of text: “Card message” and “Delivery instructions”. The card should contain only the words intended for the recipient, with the spelling and signature you want them to see. Instructions about entrances, phone calls or timing belong in the delivery notes. A free card with your text is included, so a short personal message can give the bouquet its context.

Delivery is anonymous by default: the courier does not name the sender. If you want the recipient to know the flowers are from you, put your name in the card message. For a group gift, a clear signature such as “With love from Anna, David and the children” avoids uncertainty about who contributed. If you prefer anonymity, check that your card text does not accidentally identify you.

Choose language that fits your relationship rather than trying to make every note sound ceremonial. A birthday message can name something you appreciate about the person; a professional thank-you should explain what you are thanking them for. For an apology, acknowledge your own action without demanding forgiveness or a reply. See our guide to adding a personalised message if you need help keeping the wording focused.

Use a short order template and check the arrangements

A useful order can read: “Bouquet: [catalogue title]. Occasion: my sister’s birthday. Preferences: soft colours; please confirm any requested changes. Recipient: [full name and phone]. Address: [city and full address]. Delivery: [date and time option, in the recipient’s city]. Card message: [exact text and signature]. Sender contact: [your details].” Replace every bracketed prompt before submitting it.

Add a separate instruction if there is a practical issue the courier should know about, such as an entrance that is difficult to identify. If the recipient is absent, we agree a second delivery the same day or handing the flowers to a neighbour or concierge with the sender’s consent. You can state your preference, but any alternative handover needs that consent. Avoid assuming that an unattended doorstep is a suitable place for flowers.

Before completing payment, check the bouquet reference, recipient’s phone number, address, date and card text against your original information. Online checkout uses CloudPayments; check the payment options displayed there, particularly when paying from abroad, as acceptance of every foreign card is not guaranteed. For questions, call 8 (812) 507-67-05. Keep your final wording handy so that any clarification refers to the same details.

Match the flowers to the occasion and help them last

Let the recipient’s preferences guide the gesture before relying on fixed flower meanings. Red roses often suggest romance, but that association is not universal and may be unsuitable for a colleague or a distant relative. In Russian gift etiquette, an odd number of stems is customary for a celebratory bouquet when the stems are individually counted; even numbers are traditionally associated with mourning. State the occasion if you are unsure how that convention applies to your choice.

Think about where the recipient will put the bouquet and what they will be doing that day. A large arrangement may be awkward for someone leaving work by public transport or staying somewhere with limited space. Scent can also matter in a shared office or a small room, so mention known preferences when writing the order. These details explain the recipient’s needs without requiring you to know every flower variety.

For cut flowers, start with a clean vase, remove leaves that would sit below the waterline and recut the stem ends with a clean, sharp tool. Follow any care directions supplied with the flowers, and check the water daily, replacing it when cloudy. Position the bouquet away from radiators, direct sunlight and ripening fruit. Different flowers have different needs, so avoid promising the recipient a fixed vase life or using a single care rule for every arrangement.
