Birthday Flowers Delivered to a Hotel, with a Note for the Guest

Yes. You can order a birthday bouquet to be delivered to a hotel in Russia and add a card with your own words for the guest; the card with your text is free. For the delivery to go smoothly, the order needs the hotel name and address, the guest's full name exactly as on the booking, ideally the room number, and the recipient's phone number.

Customers ask us about hotel deliveries almost every week: someone's partner is on a business trip in Saint Petersburg, a friend is celebrating a birthday on holiday, parents are staying in a hotel for a family event. Below we go through what to put in the order, how hotels handle flowers, how to write the note and how to choose the time so the bouquet arrives on the right day.

What we need in the order for a hotel delivery

The most important line is the guest's name exactly as it appears on the reservation. Hotel staff search the booking system by surname, so if your friend booked under a spouse's name or a company name, write that name, and add a note in the delivery comments. A room number helps, but many hotels do not give it out and some guests change rooms, so the name matters more than the number.

Write the full hotel name and street address, not just the brand: large cities often have several hotels of the same chain. Add the recipient's mobile number. Our courier calls the recipient about 15 minutes before arrival, which is often the easiest way to meet the guest in the lobby or to know that they are out for the day.

If the delivery is a surprise, say so in the comments. Delivery is anonymous by default, so the courier does not name the sender, and only the card will tell the guest who the flowers are from. You can write delivery instructions in English on the order form; we explain what works best in our guide to English delivery instructions.

How hotels handle flowers for guests

In most hotels the courier hands the bouquet to the reception or concierge desk, and the staff either call the room or deliver the flowers upstairs. Couriers usually cannot go to the room on their own: this is a security rule of the hotel, not of the flower shop. A short line in your card or in the order comment such as 'please hand to the guest at reception or deliver to the room' helps the staff.

If the recipient is not in the hotel when the courier arrives, there are two options in our process. We agree a second delivery the same day, or, with your consent as the sender, hand the bouquet to the concierge or reception to pass on. For hotels the second option is usually the most practical, because the bouquet is in water at the desk until the guest returns.

Check-in times matter. If the guest arrives in the evening and you want the flowers to be waiting in the room, call the hotel in advance and ask whether they accept deliveries for guests who have not yet checked in. Most do, but some prefer to receive flowers only after check-in. We wrote more on these details in Flower Delivery to a Hotel Guest in Russia.

Writing the card: tone, length and language

The card is where the gift becomes personal, and customers often spend longer on the text than on choosing the bouquet. Keep it to three or four lines: a greeting by name, the wish, and your name or a nickname the guest will recognise. Long letters do not fit a standard gift card, and a short, warm message reads better on a busy birthday.

You can write the text in English, Russian or a mix; the card carries your text exactly as you send it, so check spelling and names carefully. If your text is in Russian and you type it in Latin letters, consider writing it in English instead, as transliterated Russian is often hard to read. Emojis and special symbols may not come out correctly on the card, so replace them with words.

If you want the sender to stay anonymous, simply do not sign the card, or sign it with something only the guest will understand. Remember that the courier does not name the sender, so the card is the only clue.

Choosing a bouquet that suits a hotel room

A hotel room is not a home: there may be no vase, the room is warm and the guest may be packing in two days. For that reason customers often choose compact bouquets or arrangements that stand on their own. An arrangement in a box or basket from the catalogue, or a compact hand-tied bouquet, saves the guest from looking for a vase late at night.

Avoid strongly scented flowers such as oriental lilies or tuberose if the room is small or if you do not know whether the guest has allergies. Roses, spray roses, eustoma, chrysanthemums and alstroemeria are safe choices with a long vase life. For a birthday, bright mixed colours read as celebration, while a single-colour bouquet of white or pastel flowers looks more formal.

Think about travel too. If the guest is flying home soon, a smaller bouquet is easier to carry or to leave with a note for the housekeeping staff. You can browse sizes and styles in our bouquets catalogue.

Timing: getting the flowers there on the birthday

For a birthday, the timing is part of the gift. In large cities you can choose express delivery 1-2 hours after the order is confirmed, an exact time with a margin of plus or minus 30 minutes, or one of the time windows: 09-12, 12-15, 15-18 or 18-21. You can also pre-order 1-30 days ahead, which is the calmest option when you already know the date and the hotel.

For hotels, the 09-12 window works well for a morning surprise before the guest leaves for the day, while 18-21 suits a bouquet waiting on return from a dinner. If the guest has a tight schedule, an exact time is better than a window. In Saint Petersburg we deliver around the clock, so a late-night arrival on the eve of a birthday is also possible.

Keep in mind the time difference if you order from abroad: delivery times are local. When in doubt, call us on 8 (812) 507-67-05 and we will agree the time with you.

Price and payment from abroad

City delivery costs 500 RUB. For remote districts and suburbs the operator confirms the delivery price when confirming the order, which is relevant for country hotels and resorts outside the city. The bouquet price is shown in the catalogue.

You can pay online on the site with a bank card, SBP or Yandex Pay. Foreign bank cards are accepted, with payment via Robokassa, so you do not need a Russian card to send flowers to a hotel in Saint Petersburg or elsewhere in Russia. Full details are on the delivery and payment page.

Pyat Tsvetov has worked since 2011 and has three own flower shops in Saint Petersburg, on Ilyushina Street, Obvodny Canal Embankment and Srednerogatskaya Street. We make and deliver the bouquets ourselves, so any question about a hotel order can be settled by phone with the same team that prepares it.

Frequently asked questions

Can the courier take the flowers up to the guest's room?

It depends on the hotel's rules. Most hotels ask couriers to leave flowers at reception or with the concierge, who then deliver them to the room.

What if the guest is not at the hotel when the flowers arrive?

We agree a second delivery the same day or, with your consent, hand the bouquet to the concierge or reception. The courier calls the recipient about 15 minutes before arrival.

Can I write the card in English?

Yes. A card with your text is free, and you can write it in English, Russian or both. Keep it short and avoid emojis.

Will the guest know who sent the flowers?

Delivery is anonymous by default, so the courier does not name the sender. The guest learns who sent the bouquet only from your card.

Can I pay with a foreign card?

Yes, foreign bank cards are accepted via Robokassa. You can also pay by bank card, SBP or Yandex Pay on the site.
