Choosing a Florist for a Gala Dinner
A good florist for a gala dinner does three things: prepares bouquets that suit the formality of the evening, delivers them to the venue at an exact, agreed time, and makes sure each bouquet reaches the right person with the right card. Pyat Tsvetov has made bouquets for Saint Petersburg evenings since 2011 from our three flower shops, and we deliver across the city around the clock, so a late presentation or a midnight finale is not a problem.
Most gala orders we take begin with the same questions at the counter: how many bouquets are needed, what size looks right on stage, when they should arrive and who will hand them over. This guide answers those questions in the order an organiser usually faces them, from planning the list to the moment the flowers are presented.
Planning the list: who receives flowers at a gala
Start with a written list of recipients rather than a total number. At a typical gala dinner flowers go to the guest of honour, the host or hostess, speakers and award winners, performers who close the programme, and sometimes the event manager of the venue. Each group needs a different bouquet: a jubilee celebrant receives the largest and most personal one, award winners receive matching bouquets of the same design so nobody looks favoured, and performers receive something compact enough to hold while bowing.
Matching bouquets matter more than many organisers expect. When five laureates walk on stage one after another, photographs show every bouquet side by side, and a set made in one palette and one size looks deliberate. Order the set together in one order so that it is made from the same batch of flowers on the same day.
Keep one spare bouquet. At almost every evening someone is added to the programme at the last minute - a sponsor, a guest speaker, a colleague who organised everything behind the scenes - and a spare bouquet saves an awkward moment. If it is not needed, it makes a fine thank-you for the host at the end of the night.
Style, size and colour for a formal evening
Gala bouquets are photographed under strong stage light and seen from a distance, so clear shapes and saturated or clean colours work best. Long-stemmed roses, peonies in season, hydrangeas, lisianthus and calla lilies all read well from the audience. Very loose, airy bouquets full of small flowers look lovely on a dinner table but tend to disappear on a stage.
Match the palette to the evening. For a black-tie event, white, cream and deep burgundy look elegant against dark suits and evening dresses. For a company anniversary, many clients ask for the corporate colours; it works best when the brand colour is one accent rather than the whole bouquet. Avoid heavily scented lilies for a dinner hall - in a warm, closed room the scent competes with the food.
Size should suit the person carrying it. A bouquet that looks generous on the counter can be awkward to hold together with a diploma, a microphone or a glass. For award ceremonies we recommend compact round bouquets with a firm handle; for the guest of honour, a larger bouquet is fine, ideally in a box or with a water reservoir so it survives the rest of the evening on a side table.
Bouquets we can deliver
Delivery to the venue: timing that works
For a gala, the delivery time is as important as the bouquet. You can book delivery at an exact time, with a margin of plus or minus 30 minutes, or choose one of the time windows: 09-12, 12-15, 15-18 or 18-21. Orders can be placed from 1 to 30 days ahead, which is how most organisers book flowers for a planned evening. If plans change on the day, express delivery in Saint Petersburg takes 1-2 hours after the order is confirmed.
Ask for the flowers to arrive 60-90 minutes before the presentation, not at the start of the dinner and not during it. That leaves time to check the names on the cards and set the bouquets aside, without the flowers standing for hours in a warm hall. Give the courier the name and phone number of the person who will receive the order at the venue - the courier calls about 15 minutes before arrival, and a hotel or restaurant reception often does not know about a private event.
For a late programme, delivery in Saint Petersburg runs around the clock, so a bouquet for a midnight toast or the closing act can arrive exactly when needed. City delivery costs 500 RUB; for venues in remote districts and suburbs the operator confirms the price when confirming the order. Country hotels and estates outside the city are common gala venues, so mention the exact address when you order.
Keeping bouquets fresh until the presentation
Once the flowers arrive, decide where they will wait. The best place is a cool back room or cloakroom away from kitchen heat, stage lights and radiators. Keep the bouquets upright, do not unwrap them and do not lay them on a table on their side, where heads get crushed. If bouquets come with a water reservoir, they can stand like this for several hours without any care.
Organisers who have to buy flowers a day before the event often ask whether that is safe. In most cases it is, if the bouquet spends the night in water in a cool room; we explain the details in Can I Leave Flowers for a Day Before Giving Them?. For a gala, though, same-day delivery to the venue is the more reliable option.
Assign one person to hand over the flowers. On stage, a host or assistant passes each bouquet to the presenter just before the name is announced. Write the recipient's name on a small tag on the wrapping as well as on the card, so the right bouquet reaches the right laureate in the rush of the ceremony.
Cards, names and gala etiquette
Each bouquet can carry a card with your text, free of charge. For a formal evening, keep the message short and official in tone: the name of the organisation, the occasion and a wish. For example, 'Congratulations on the award - from the Board of Directors' or 'With gratitude for 25 years of leadership'. Check the spelling of names and titles twice; a misspelt name is what people remember.
Russian etiquette still prefers odd numbers of stems for celebratory bouquets, and many Russian guests notice it. For a mixed international audience nobody counts, but if the guest of honour is Russian, an odd number is a small, thoughtful detail. Men receive flowers at Russian galas too, especially on anniversaries and awards; for them, choose strict shapes and darker tones - burgundy roses, blue delphinium, greenery.
Delivery is anonymous by default, so if the bouquet is from a company or a person who will not attend, make sure the sender's name is on the card. For gifts sent from abroad to a gala in Saint Petersburg, this is the only way the recipient will know who remembered them.
How to order and pay, including from abroad
Choose bouquets in our catalogue, add the delivery address of the venue, the date and time, the recipient's name and the card text. For several identical bouquets for laureates, order them together and note the number of recipients. Payment is online on the site by bank card, SBP or Yandex Pay; foreign bank cards are accepted too, with payment via Robokassa, so a sponsor or a relative abroad can pay for flowers for a Saint Petersburg gala directly.
If the order is complicated - many recipients, a tight schedule or a venue outside the city - call us at 8 (812) 507-67-05 before placing it, and we will agree the details. More ideas for the bouquets themselves are collected in Gala Dinner Flowers: A Florist's Guide to Bouquets. We deliver bouquets across Russia in 1–2 hours.
